Northmere Press / Publishing policies

Privacy notice

This notice describes the information handled by the Northmere Press website and submission service.

Information you provide

When you submit work, we collect the journal selection, article type, title, abstract, author and contact details, optional affiliation and ORCID, uploaded manuscript or manuscript link, declarations and any accompanying notes. Contact enquiries include your name, email, topic and message.

Please provide only information needed for the submission. Do not upload sensitive participant data, patient records or confidential material belonging to others. You must have permission to provide co-author details.

How information is used

Information is used to receive and assess submissions, communicate with authors, address enquiries and concerns, administer publication arrangements and maintain the security of the service. Submitting does not subscribe you to marketing.

The current submission workflow does not send manuscripts to an AI model for analysis. Unpublished submissions are not displayed publicly and are not sold or licensed as training data through this service.

Storage and access

The website uses OpenAI Sites hosting and its Cloudflare-based storage services. Manuscript files are stored separately from submission metadata. Access to the publisher dashboard and manuscript downloads is restricted. Service providers may process information in countries other than your own.

Private tracking links act as access keys to a submission's status and withdrawal controls. Keep them confidential. Do not include those links in public posts or manuscripts.

Security and technical information

The application uses a daily hash of the network address supplied by its hosting service to limit automated form abuse. It does not save the raw address in its submission database. Hosting providers may process request logs and security information under their own policies.

The site does not add advertising trackers or analytics scripts. Fonts are requested from Google Fonts, which receives connection information such as the visitor's network address. Publisher sign-in uses the hosting platform's authentication and may involve authentication cookies. The application uses session storage for an in-progress form request identifier and private tracking key; it does not save manuscript text in browser storage. No internet service can guarantee absolute security.

Retention and your requests

Submission records are retained while being considered and as needed to manage enquiries, publication agreements and integrity issues. You may withdraw unpublished work through its tracking page. Withdrawal removes the uploaded manuscript from active file storage; metadata is retained unless you request deletion.

Use the contact form for access, correction, deletion or privacy questions. We may need to verify a request and may retain information needed for applicable obligations, disputes or the published scholarly record. Information in provider backups and logs may persist under the provider's retention practices.

Children and changes

The submission service is intended for adults and is not directed to children under 18. Do not submit if you are under 18. This notice will be updated when the service changes; the date below identifies the current version.
